Vanguard Oasis IT Services LLC ("Vanguard Oasis," "we," "us," or "our") takes your privacy seriously and is committed to protecting the personal data of anyone who visits vanguardoasis.com (the "Website"). This Privacy Policy covers what personal data we collect, why we collect it, how we use and protect it, and the rights you have under UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the "PDPL") and its executive regulations.

This Policy covers the personal data we collect through the Website, whether that’s through our contact form, our consultation-scheduling tool, or a direct email or phone call. It doesn’t cover personal data we process on behalf of clients while delivering IT services; that’s governed by the relevant client agreement or statement of work instead.

We only collect personal data you choose to give us directly, for example when you fill in our contact form, book a consultation, or email or call us. That might include:

• your name;
• your email address;
• your phone number;
• your company name and job title, if you share it;
• the content of your message, enquiry, or consultation booking; and
• anything else you decide to include when you contact us.

We don’t knowingly collect sensitive personal data (things like health, financial account, or biometric information) through the Website, so please avoid including it in your messages to us.

We use the personal data you give us to:

• respond to your enquiries and requests for information;
• schedule, confirm, and manage consultations you book with us;
• follow up on potential projects and engagements for our IT services and solutions;
• keep records of our communications with you; and
• meet our legal, regulatory, and contractual obligations.

We don’t use the personal data submitted through the Website for automated decision-making or profiling.

We process your personal data based on your consent, given when you submit a form or otherwise get in touch, and, where relevant, our legitimate interest in responding to enquiries and pursuing potential business relationships. Either way, this is handled consistently with the PDPL. You can withdraw your consent at any time, as explained in Section 12.

We don’t sell your personal data. We may share it, only where it’s needed, with:

• employees or contractors of Vanguard Oasis who need it to respond to your enquiry;
• service providers who support our website, email, or scheduling functions and process data on our instructions (for example, hosting providers or booking tools); and
• government, regulatory, or judicial authorities, where UAE law requires it.

Any third party we share personal data with is required to protect it in line with this Policy and applicable law.

If any of the service providers mentioned in Section 7 are based outside the UAE, your personal data may be transferred to, and processed in, another country. When that happens, we take reasonable steps to keep the data protected in line with the PDPL’s requirements for cross-border transfers.

We keep the personal data you submit for as long as it’s reasonably needed to respond to your enquiry, plus a reasonable period afterwards for our business records, or for as long as the law requires. After that, we delete or anonymise it securely.

We take reasonable technical and organisational steps to protect the personal data we hold from unauthorised access, loss, misuse, or alteration. That said, no method of storing or transmitting data online is completely secure, so we can’t guarantee absolute security.

The Website may use a small number of essential or functional cookies needed for it to work properly, for example to support an embedded booking tool. We don’t currently use cookies for advertising or third-party tracking. If that changes down the line, we’ll update this Policy and, where the law requires it, ask for your consent first.

Subject to the conditions and exceptions in the PDPL, you have the right to:

• access the personal data we hold about you;
• ask us to correct inaccurate or incomplete data;
• ask us to delete your data, subject to legal exceptions;
• object to, or ask us to restrict, how we process your data;
• withdraw your consent at any time, without affecting anything we did before you withdrew it;
• ask for a copy of your data in a portable, commonly used format, where that applies; and
• lodge a complaint with the UAE Data Office if you think we’ve processed your data unlawfully.

The Website is built for business use and isn’t aimed at children. We don’t knowingly collect personal data from anyone under 18. If you think a child has given us personal data, please let us know so we can delete it.

The Website may link to, or embed, third-party sites and tools, such as scheduling and video-conferencing services used for consultations. This Policy doesn’t cover those third-party services, so it’s worth checking their own privacy policies separately before you use them.

We may update this Privacy Policy now and then to reflect changes in how we handle data or in the law. The "Effective Date" above shows when we last revised it, so it’s worth checking back occasionally.
