Dynamics 365 is a serious product. It is also sold as a family of products, and the name alone makes many small business owners assume it is either exactly what they need or far beyond them. The honest answer is somewhere in between, and it depends on a handful of things you can check yourself.
A note on our own position: Dynamics 365 implementation is delivered through certified implementation partners, with us managing the relationship. We would rather tell you it is overkill than sell you a system you will not use.
What it is, in plain words
Dynamics 365 is Microsoft's range of business applications for finance, sales, customer service, operations and more. You pick the parts you need. Business Central is the one aimed at small and medium-sized businesses that want finance, inventory, purchasing and sales in one system. Sales and customer-service apps cover the customer-facing side.
What it costs to licence
Microsoft's US list prices for Business Central are $80 per user per month for Essentials and $110 for Premium, with a lighter Team Members licence at $8, all paid yearly. These are US prices, so check the current UAE figures before you budget.
Licences are only part of the bill. Setting up, migrating your data, adapting it to how you work and training your team are usually the larger cost, and they depend on how complicated your business is. We do not quote a figure for that here, because it would be a guess. A scoped quote is the only honest way to find out.
Signs it may be a good fit
- You run finance, stock, purchasing and sales in separate tools that do not talk to each other.
- You have outgrown entry-level accounting software, with several entities, currencies or locations.
- More than a handful of people need access to the same live data.
- You need approvals, audit trails and role-based access.
- You expect to keep growing and want one system that grows with you.
Signs it may be overkill
- You have fewer than about ten staff and one location.
- Your main pain is invoicing, and a good accounting package would solve it.
- Your process changes every few months and is not yet settled.
- You want a customer list and a sales pipeline, and a lightweight CRM would do that.
- Nobody on your team has time to own the system once it goes live.
What to try first
A sensible way to decide
Write down the three processes that cause you the most pain. For each, ask whether a smaller tool could fix it. If the answer is yes for all three, you probably do not need Dynamics 365 yet. If the answer is that they are connected and the connections are the problem, it is worth a proper look.
Our Digital Transformation service starts with a paid audit and a roadmap, which you keep. It tells you what to fix first and what to buy, whether that turns out to be Dynamics, something smaller or nothing at all.
