1. Introduction
Vanguard Oasis IT Services LLC (“Vanguard Oasis”, “we”, “us” or “our”) respects your privacy. This Privacy Policy explains what personal data we collect through www.vanguardoasis.com (the “Website”), why we collect it, how we use and protect it, and the rights you have under UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”) and any implementing regulations issued under it.
Scope. This Policy covers personal data we collect through the Website, whether through our contact form, our consultation-scheduling tool, or a direct email to us. It does not cover personal data we process on behalf of clients while delivering IT services. That is governed by the relevant client agreement.
Who is responsible. For PDPL purposes the controller is Vanguard Oasis IT Services LLC, Sharjah Media City (Shams), Sharjah, United Arab Emirates, trade licence number 2325856.01. Email: contact@vanguardoasis.com.
2. Information We Collect
We only collect personal data that you choose to give us, for example when you fill in our contact form, book a consultation or email us. That may include:
- your name, email address and phone number;
- your company name and job title, if you share them;
- the content of your message, enquiry or consultation booking; and
- anything else you decide to include when you contact us.
- We don’t knowingly collect sensitive personal data through the Website, such as health, financial account or biometric information. Please don’t include it in your messages.
The Website is built for business use and isn’t aimed at children. We don’t knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, please tell us and we will delete it.
3. How We Use Your Information
We use the personal data you give us to:
- respond to your enquiries and requests for information;
- schedule, confirm and manage consultations you book with us;
- follow up on potential projects and engagements;
- keep records of our communications with you; and
- meet our legal, regulatory and contractual obligations.
Lawful basis. We process your personal data on the basis of your consent, which you give when you submit a form or otherwise contact us. Where relevant, we also process it where that is necessary to take steps at your request before entering into a contract, or to comply with a legal obligation. You can withdraw your consent at any time (see “Your Rights” below).
We don’t sell or rent your personal data, and we don’t use data submitted through the Website for automated decision-making or profiling.
5. How We Share Your Information
We don’t sell your personal data. We share it only where needed, and only with:
- our own team and contractors who need it to respond to your enquiry;
- service providers who support our website, email, hosting or scheduling and act on our instructions;
- delivery or technology partners, where necessary to fulfil a request you have made; and
- government, regulatory or judicial authorities, where UAE law requires it.
Anyone we share personal data with is required to protect it in line with this Policy and applicable law.
International transfers. Our delivery team works from Sri Lanka through a contracting company, and some of our service providers are based outside the UAE. This means your enquiry details may be accessed from, or stored in, Sri Lanka or other countries. Where that happens, we transfer personal data only as the PDPL allows: to a jurisdiction recognised as providing adequate protection, under contractual safeguards that require an equivalent level of protection, or with your consent.
6. Data Retention & Security
Retention. We keep enquiry details for up to 24 months after our last contact with you, unless you become a client or the law requires us to keep them longer. Records that relate to a signed engagement are kept for the period required by UAE law, for example for accounting and tax purposes. After that, we delete or anonymise the data securely.
Security. We use reasonable technical and organisational measures to protect personal data from unauthorised access, loss, misuse or alteration, including access controls and encrypted connections. No method of storing or transmitting data online is completely secure, so we can’t guarantee absolute security.
If a personal data breach occurs that is likely to harm you, we will notify the UAE Data Office and affected individuals as the PDPL requires.
7. Your Rights Under UAE Law
Subject to the conditions and exceptions in the PDPL, you have the right to:
- be informed about how we process your personal data;
- access the personal data we hold about you and ask for a copy;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data, subject to legal exceptions;
- ask us to restrict, or to stop, processing your data;
- ask for your data in a portable, commonly used format, where that applies;
- object to decisions made solely by automated means; and
- withdraw your consent at any time, without affecting anything we did before you withdrew it.
To exercise any of these rights, email contact@vanguardoasis.com. We will respond within a reasonable time and may ask you to confirm your identity first.
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You can also lodge a complaint with the UAE Data Office.
8. Changes & Governing Law
We may update this Privacy Policy from time to time to reflect changes in how we handle data or in the law. The “Last updated” date at the top of this page shows when it was last revised, so please check back occasionally.
This Policy is governed by the federal laws of the United Arab Emirates as applied in the Emirate of Sharjah. Any dispute about it is subject to the competent courts of the Emirate of Sharjah, without affecting your rights under the PDPL or your right to complain to the UAE Data Office.
